Douglas Telecom's FlexyTrack server is a single system designed to unify ALL levels of business communications. Your FlexyDesk hosted desktop is the central point tying together all your communication tools. When you clock in, the system broadcasts to your colleagues that you are now in the office and available for conference calls, meetings and collaborations.

Should a client call regarding a pending contract, their profile, contract and related communications are at your fingertips, easily found and pulled up through the FlexyDesk client profile module. Through the module you can add notes to the client profile and annotations to the contract document, separate from the body of the document. At the same time, you could direct the system to record the call with your client, as a further record of what was discussed, and attach it to the contract document and/or client profile.

Using FlexyDesk’s project management module, you can send the contract with annotations as a task to a colleague, for his or her collaboration or input. Your colleague sees this task through his or her own FlexyDesk interface, with direct links to the document and client profile in question with your notes and annotations. This all provides immediate clarity to the task at hand.

This seamless unification allows users to link and annotate any and all documents, notes or other information within the system with other items, documents, notes, tasks or elements within any of the services that you use. This is can include voice mails, received faxes, files, notes, memos, voice memos, images, sales orders, invoices, inventory, customer profiles, employee profiles, etc, giving the user a complete overview of past and present projects, documents and communications. This constitutes a powerful, unified solution that can connect your home office, satellite offices, or international office locations in a Cloud-style computing environment.

Due to the flexibility of the system, entirely new services and tools can be added and retroactively integrated with your existing system at a much less cost and greater speed than with a traditional system. Unified Communications (UC) refers to a trend in technology and business towards the integration and unification of a diverse set of communication systems and their application such as email, phone, fax, instant messaging, voice mail and other messaging tools. The key idea behind Unified Communications is to tie together these various methods of communication so that they can interact with each other dynamically. This is accomplished by using a hardware solution combining these services or a software solution to “bridge” the various elements of your infrastructure.

In general, every office has one machine to manage voice mail, one machine for processing the telephone traffic within the office, fax machines for receiving faxes and an email server somewhere to manage the email traffic. A unified solution brings faxes, emails, voice mail and telephone routing together into one system to increase productivity (by speeding-up and facilitating end users' access to the various communication tools) and to lower overhead (one system replaces many systems).
